This Privacy Policy explains how Adviser Technologies Limited, trading as Adviser.ai (“we”, “us”, “our”), collects, uses and protects your personal data when you engage with us as a client or prospective client of our services. We are registered with the Information Commissioner’s Office (ICO) under registration number ZA474755.

What This Policy Covers
This policy applies to data we hold about:
- Existing clients – companies and their representatives who use our software platform;
- Prospective clients – companies and individuals we engage with for sales and marketing purposes;
- Employees, suppliers and other business contacts.
This policy does not cover the processing of personal data belonging to the customers of our clients. That is addressed in our separate Data Privacy Notice for Individuals.
Personal Data We Collect
Data You Provide Directly
- Identity data: name, job title, company name;
- Contact data: email address, telephone number, postal address;
- Financial data: payment and billing details;
- Transaction data: details of services purchased and agreements entered into;
- Marketing and communications data: your preferences and correspondence with us.
Data We Collect Automatically
- Technical data: IP address, browser type, usage data from our websites and platform;
- Usage data: how you interact with our services.
Data From Third Parties
- Information from publicly available sources such as company directories, LinkedIn and other social media platforms;
- Information from third-party databases used for business development purposes.
How We Use Your Personal Data

Marketing Communications
We may contact you with information about our services that may be of interest to you. We rely on legitimate interests to market to existing clients and, where required by the Privacy and Electronic Communications Regulations (PECR), we will obtain your consent before sending electronic marketing. You may opt out of marketing communications at any time by contacting us at help@adviser.ai or by using the unsubscribe link in any marketing email. Please note that opting out of marketing will not affect our ability to send you service-related communications that are necessary to our contractual or legal obligations.
Sharing Your Personal Data
We will not sell your personal data to third parties. We may share your data with:
- IT and system administration service providers who support our platform infrastructure;
- Professional advisers including lawyers, auditors, insurers and bankers;
- HM Revenue & Customs, regulators and other public authorities where required by law;
- Third parties in connection with any sale, merger or restructuring of our business, subject to appropriate safeguards.
All third parties are required to process your personal data only on our instructions, in accordance with applicable law, and subject to appropriate data processing agreements.
How Long We Retain Your Data
We will retain your personal data only for as long as is necessary for the purposes set out in this policy, or as required by law. Generally:
- Client contact and contractual data: retained for the duration of the contract and for six years thereafter (in line with statutory limitation periods);
- Prospective client data: retained for a reasonable period to pursue a legitimate business relationship, typically no more than two years from last meaningful contact;
- Financial and invoicing records: retained for a minimum of six years to comply with HMRC requirements.
After the applicable retention period, your personal data will be securely deleted or anonymised.
Data Security
We take data security seriously and have implemented appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, alteration or disclosure. These include:
- Secure UK-based servers using industry-standard encryption and security protocols;
- Restricted access controls, ensuring that only authorised personnel can access personal data;
- Confidentiality obligations imposed on all staff and contractors with access to personal data.
In the event of a personal data breach, we will notify the ICO within 72 hours where required, and notify affected individuals without undue delay where the breach is likely to result in a high risk to their rights and freedoms.
International Transfers
We primarily store and process your personal data in the United Kingdom. Where we engage service providers located outside the UK, we will ensure that appropriate safeguards are in place, such as the UK International Data Transfer Agreement (IDTA) or equivalent mechanism, to ensure your data receives an equivalent level of protection.
Your Rights
Under the UK GDPR, you have the following rights in relation to your personal data:
- Right of access – to request a copy of the personal data we hold about you;
- Right to rectification – to request correction of inaccurate or incomplete data;
- Right to erasure – to request deletion of your personal data in certain circumstances;
- Right to restriction – to request that we limit our processing in certain circumstances;
- Right to data portability – to receive your data in a structured, machine-readable format;
- Right to object – to object to processing based on legitimate interests or for direct marketing;
- Right to withdraw consent – where processing is based on consent, to withdraw it at any time without affecting the lawfulness of prior processing.
To exercise any of these rights, please contact us at help@adviser.ai. We will respond within one calendar month. No fee is payable unless your request is manifestly unfounded or excessive, in which case we may charge a reasonable fee or decline to act.
Automated Decision-Making
We do not use your personal data for automated decision-making or profiling that produces legal or similarly significant effects, without your explicit consent or another lawful basis.
Cookies and Website Links
We do not use cookies in providing the Adviser.ai platform. Our websites may contain links to third-party websites. We are not responsible for the privacy practices of those websites and encourage you to review their privacy notices.
Changes to This Policy
We may update this policy from time to time. Any changes will be posted on our website at www.adviser.ai. Where changes are material, we will notify you by email. Please review this policy periodically.
